Consulting Services

Practical Guidance for Healthcare Providers and Practice Teams

Helping Hands Training & Consulting provides personalized consultations for ABA agencies, therapy clinics, healthcare practices, owners, administrators, billing professionals, credentialing personnel, and clinical leaders.

Our consultations combine provider education, operational guidance, and practical implementation support. Each session is customized around your organization’s specialty, payer participation, staff responsibilities, current systems, and immediate needs.

Consultation Rate: $150 Per Hour

Consultations are available virtually, at our Hialeah office, or onsite at company locations throughout Miami-Dade and Broward counties.

Provider Education Delivered Through Consultation

Topics that may traditionally be offered as training are provided by Helping Hands as personalized consultation services.

We do not offer standardized, flat-fee training packages. Instead, the consultation is structured around the participant’s current experience, assigned responsibilities, payers, systems, and operational goals.

During a consultation, we may provide direct education, explain payer requirements, demonstrate administrative systems, review workflows, answer staff questions, troubleshoot operational concerns, and help your organization develop practical next steps.

This approach allows us to focus on the areas your organization actually needs rather than requiring you to purchase a predetermined course with information that may not apply to your practice.

In-Office Consultations

Onsite Consultations

Onsite consultations are available for healthcare companies located in Miami-Dade and Broward counties.

We can meet with your ownership team, administrators, billers, credentialing personnel, intake staff, clinical leaders, or other team members at your company’s location.

Onsite consultations are especially helpful when several staff members need to participate, when responsibilities must be clarified across departments, or when the consultation requires a review of your existing operational processes.

Onsite availability is confirmed based on the company’s location, requested scope, and scheduling availability.

What Our Consultations Cover

Post-Credentialing and Payor Readiness Consulting

Credentialing approval is an important milestone, but it does not necessarily mean that the provider is ready to verify benefits, obtain authorizations, submit claims, or receive payment.

After approval, healthcare organizations may still need to establish payor portal access, complete electronic payment enrollment, connect providers to a clearinghouse, confirm effective dates, maintain provider rosters, and develop internal procedures for ongoing payer maintenance.

Our post-credentialing consultations help practice owners and administrative teams understand what must happen after a provider receives an approval, effective date, or executed contract.

The consultation may address payor portal access, electronic funds transfer (EFT), electronic remittance advice (ERA), clearinghouse linkage, billing and rendering provider setup, payor rosters, provider additions and terminations, demographic updates, recredentialing, revalidation, and billing-readiness procedures.

We may also help your organization establish checklists, tracking systems, internal deadlines, and staff responsibilities so that post-credentialing tasks are managed consistently.

Accreditation Readiness Consulting

Helping Hands Training & Consulting provides independent accreditation readiness consultations for eligible healthcare and human-service organizations pursuing initial accreditation, reaccreditation, or continuous readiness through The Joint Commission, the Autism Commission on Quality, or the Community Health Accreditation Partner. Consultations may include readiness assessments, gap reviews, policy and documentation evaluations, personnel and client file sampling, quality-improvement processes, leadership and staff responsibilities, mock survey preparation, staff interviews, corrective-action planning, and implementation guidance. Our goal is to help your organization identify areas requiring improvement, organize supporting evidence, and strengthen alignment between written policies and actual daily operations.

Accreditation consulting is billed at $150 per hour and is available virtually, at our Hialeah office, or onsite at company locations in Miami-Dade and Broward counties. The recommended number of hours will depend on the accreditation program, organization size, number of locations, services provided, current documentation, and requested level of support. Helping Hands is an independent consulting firm and does not award accreditation or guarantee survey outcomes. Clinical policies and protocols requiring professional judgment must be reviewed and approved by the organization’s qualified clinical leadership, and extensive policy development may require a separate project scope.

Billing and Revenue-Cycle Consulting

Billing problems often begin before a claim is submitted. Incomplete intake information, inaccurate benefit verification, missing authorization tracking, incorrect provider setup, and unclear staff responsibilities can all contribute to claim delays, rejections, denials, and lost revenue.

Billing and revenue-cycle consultations can be customized around your organization’s specialty, payer mix, staff experience, and billing systems. Consultations may address client intake, insurance verification, authorizations, CPT codes, modifiers, place-of-service requirements, claim submission, corrected claims, rejected claims, pending claims, denials, payment posting, accounts receivable, payor follow-up, and billing compliance controls.

For ABA organizations, consultations may also include ABA CPT codes, provider qualifications, authorized versus provided units, authorized versus billed units, modifiers, rendering provider requirements, and payer-specific billing considerations.

A comprehensive billing consultation may require several hours or multiple sessions, depending on the participant’s experience and the number of topics selected.

Eligibility, Benefits, and Cost-Sharing Consulting

Understanding insurance benefits is essential for accurate intake, billing, and patient financial communication. During an eligibility and benefits consultation, we can review how to identify active coverage dates, plan types, network status, deductibles, copayments, coinsurance, out-of-pocket maximums, accumulators, authorization requirements, and service limitations.

The consultation may also address how staff should document benefit information, estimate patient responsibility, communicate expected costs, and avoid making guarantees regarding insurance coverage or claim payment.

This consultation is appropriate for practice owners, intake staff, billing personnel, front-office employees, and administrators responsible for communicating with patients or families.

Availity and Payor Portal Consulting

Availity and payor portal consultations provide individualized assistance based on the systems your organization uses and the functions available through your payor accounts.

We may review user access, staff permissions, provider setup, eligibility verification, claim submission, claim-status review, corrected claims, remittance information, payor spaces, electronic forms, and payor-specific tools. Because portal functions vary by payor and organization, the session is structured around the tasks the participant is responsible for completing.

The consultation may be conducted virtually through screen-sharing, at our Hialeah office, or onsite for eligible Miami-Dade and Broward organizations.

CAQH Consulting

CAQH consultations are available for individual providers and administrative staff responsible for maintaining provider profiles. We can provide guidance on profile setup, professional information, practice locations, education, work history, hospital affiliations, licenses, certifications, liability insurance, disclosure questions, document uploads, payor authorization, attestation, and re-attestation.

The consultation may also include a review of incomplete, inconsistent, or expired information and guidance on creating an internal process for ongoing CAQH maintenance.

For organizations managing multiple clinicians, the session can focus on staff responsibilities, document tracking, expiration dates, and profile maintenance procedures.

Audit-Ready Client and Staff File Consulting

Healthcare organizations should have consistent procedures for collecting, reviewing, organizing, and maintaining client and staff records.

Client-file consultations may address intake records, insurance information, eligibility documentation, authorizations, consent forms, financial documents, service records, signatures, communication records, missing-document tracking, and internal file reviews.

Staff-file consultations may address applications, résumés, job descriptions, licenses, certifications, background screenings, exclusion checks, agreements, orientation records, required acknowledgments, training records, supervision documentation, performance records, and credential expiration tracking.

The purpose of these consultations is to help your organization identify gaps and establish a more consistent internal file-management process.

Hiring and Provider Onboarding Consulting

A structured onboarding process helps organizations confirm that employees, contractors, clinicians, and administrative staff complete the required steps before beginning their responsibilities.

Hiring and onboarding consultations may address document collection, credential verification, background screening, exclusion screening, staff agreements, confidentiality requirements, orientation, system access, payer enrollment, roster updates, file organization, and expiration-date tracking.

We may also help your organization create a clearer transition from hiring to active employment by identifying who is responsible for each onboarding step and how completion should be documented. Consultations related to employment classification, payroll, tax requirements, or labor law do not replace advice from an attorney, accountant, tax professional, or qualified human-resources professional.

Customized Operational Consulting

Organizations may request a consultation for a specific administrative concern, payor requirement, workflow problem, or new operational responsibility.

For example, a consultation may focus on preparing a newly credentialed practice for billing, educating a new administrator, improving payor follow-up, organizing contracts and approval notices, developing an authorization-tracking process, establishing a credentialing maintenance calendar, reviewing provider onboarding responsibilities, or creating a more consistent denial-management process.

Several related topics may be combined into one consultation. The recommended number of hours will depend on the scope, complexity, number of participants, and level of implementation assistance requested.
